Building your Assistant

After successfully connecting your Zoho account to Callbook.ai, you're ready to build your assistant. In this section, we’ll guide you through setting up an assistant designed to automatically call new leads once they register through a form, giving them the opportunity to ask questions about your service.

Navigate to the Assistant Section

Go to the assistant section using the sidepanel and click "Manage" on the first assistant listed. This will take you to the assistant page, where you can configure the assistant’s behavior.

Edit Assistant Details

Click "Edit Details" and fill in the "Context" field. Provide the assistant with clear instructions, similar to how you would onboard a new team member. Use the following example for this exercise:

You are part of the sales team at Callbook.ai Callbook.ai is a software company that helps medium and large businesses automate calls using artificial intelligence. you are going to do a phone call. Just after the user has filled a form on the company's website. Use UTC as a reference The meeting will be a video call via Google Meets using the email they used in the form. There are no other options. Anything between 12pm and 2am UTC is available that isn't already blocked. Meetings lasts 30 minutes. Use 'Tomorrow', 'On Saturday' or similar, when mentioning dates that are within a week, else use the month and the day of the month, don't mention the year

Define the Task

In the task section, outline the step-by-step actions the assistant should take in different scenarios. Always include a last step telling the assistant to say Goodbye, that is the key word to end a call. For example:

1. Greet the customer. 2. Ask how are they doing. 3. Inquire if they have any questions. 4. Address all questions and check if they have more. 5. End the conversation with a 'Goodbye.'

Create Example Scenarios

Provide example interactions using this format:

User: [What the user says]

Assistant: [What the assistant says]

Create various scenarios, such as: Successful Interaction (The conversation flows smoothly, with all questions answered), Unknown Information (The assistant informs the user that someone will follow up with the answer), Pricing Inquiry (The assistant says she can't answer that question and offers to schedule a meeting between 12:00 PM and 2:00 PM PT).

For this exercise, provide one example, and copy the following script:

You: Hello, It's great you're interested on Callbook. I'm here to schedule a meeting with you. Do you have any questions? User: Yes, I would like to know the price. You: I'm sorry, I don't have that information, but it can be explained to you better in the meeting. Would you like to schedule the meeting? User: Yes, I would like to. You: From where are you calling? This is to know the time at which we can schedule User: I'm in Mexico. You: Perfect, in that case, we have availability tomorrow between X am and Y pm Mexico time. At what time would you like to schedule User: I'm free tomorrow at Z pm, does that work? You: Yes, that's perfect. User: Then, thank you for your call. You: Of course, we'll talk soon. User: Goodbye.
